Getting started
What is SchedulerOne?
SchedulerOne is a Windows desktop planner for appointments and resources. Use it for your own schedule or to coordinate people, rooms and equipment from one PC. One appointment can be assigned to several resources, and you can search for times when all required resources are available.
Which systems and languages are supported?
Use a 64-bit PC running Windows 10 or Windows 11. The interface and help are in English. SchedulerOne is a desktop application, not a browser-based or mobile calendar. Check the Microsoft Store listing for the current system requirements and availability.
Where can I get it, and what does it cost?
Get SchedulerOne from Microsoft Store. The listing shows the current price, availability and license terms for your region. Purchase and installation use the Microsoft Store account and licensing system.
How is it different from Quick Gantt Chart?
Choose SchedulerOne when your main task is arranging appointments and booking people, rooms or equipment on a calendar. Quick Gantt Chart is for project schedules built from tasks and dependencies. SchedulerOne focuses on appointment times and resource availability rather than project dependency planning.
Resources and availability
Can several people edit the same planner online?
No. SchedulerOne is a single-user local planner. One person can maintain schedules for multiple people and other resources, but the application does not provide shared online editing, a staff portal or customer self-service booking.
Can one appointment reserve several resources?
Yes. Select the required people, rooms or equipment in the appointment editor. It remains one appointment with several assignments, rather than separate events to maintain. Resource folders help organize the list; folders themselves are not bookable resources.
How does Find available time work?
Choose the required resources, duration and date range. SchedulerOne offers up to five earliest future slots within the planner's configured working days and hours. It checks existing appointments, including hidden or filtered entries and recurring exceptions. Status settings determine which appointments block time. Select a proposal and review the draft; it becomes a booking only after you save it successfully.
Can I set different working hours for each resource?
The current version uses one set of working days and hours for the planner, configured under Options. It does not provide separate weekly working-hour calendars for each resource. Existing blocking appointments for the required resources are taken into account when searching for free times.
Can SchedulerOne help avoid overlapping bookings?
Yes. You can control whether ordinary appointment editing allows conflicts, and status settings determine what blocks availability. Find available time checks the required resources and checks the final appointment again when it is saved. An appointment marked Free is nonblocking by default. Review imported appointments because they receive your planner's default status.
Does marking an appointment Done make its resources available?
No. Done marks an appointment as completed; it does not release its reserved time. It removes that appointment's reminders and excludes it from SchedulerOne's appointment-time notifications. Availability still follows the appointment's dates, resources and blocking status.
Everyday planning
Why can I not see an appointment?
Check active filters, included resources, the current resource page and the displayed dates. A working-hours-only view can also hide times outside that range. Clear filters removes appointment filters but does not re-enable unchecked resources; use Show all resources for those. In Month view, use + more when a day has additional entries.
What does All dates (List) include?
All dates (List) shows stored appointments and recurring-series records across dates. It is not an expanded list of every occurrence in every recurring series. Search checks titles, locations and descriptions. Filters and resource visibility still apply, so review them if the result is narrower than expected.
Can I create recurring appointments?
Yes. Create a recurring appointment and choose its recurrence pattern. When changing a recurring appointment, pay attention to whether you are editing one occurrence or the whole series. Individual changes and deleted occurrences are treated as exceptions to the series.
How are appointment templates different from recurring appointments?
A recurring appointment follows a repeating schedule. A template helps you create a similar appointment on a date you choose. Templates can reuse details such as text, duration, resources, label, status and reminder offsets; they do not copy the old date, completion state or recurrence. Check the new date and resources before saving. Templates do not search for free time automatically.
Do reminders work when the app is closed?
Reminders and notifications work while SchedulerOne is running, including in the system tray. File > Exit stops the app and its reminders. Windows notification settings can affect notification delivery. Marking an appointment Done removes its reminders; clearing Done later does not recreate them automatically.
Saving and backups
Are changes saved automatically?
Yes. Confirmed changes to the plan, its settings and library are saved on your PC. An open appointment editor is still a draft until you save it. File > Save a copy creates a separate .s1 snapshot of the planner; later edits do not update that file automatically, even after you open it again.
How does backup history work?
While the app is running, it checks for changes hourly and keeps the newest 30 verified local copies. You can also create a copy manually and export a .s1 file. Restoring a copy replaces the current planner; it does not merge plans. Keep important copies on another drive, because backup history on the same disk cannot protect against disk failure.
Can I synchronize the planner between computers?
SchedulerOne does not provide automatic synchronization or simultaneous editing across computers. A .s1 copy can be transferred manually to another compatible installation, but opening it replaces that installation's current planner. Do not use a file-sync service to share the live database between active installations.
Calendar exchange
Does SchedulerOne work with Outlook?
It supports manual import and export with classic Outlook installed on the same PC. This uses the local Outlook interface; it does not support the new Outlook or continuous Microsoft 365 synchronization. Outlook is not required for ordinary planning in SchedulerOne.
Can I exchange appointments with another calendar application?
You can import and export iCalendar (.ics) files. Import adds appointments; it does not update matching events by an external identifier, so importing the same file again can create duplicates. Imported appointments use the planner's default label and status. Save a planner copy before a large import and review the result, especially availability settings.
Privacy and support
Where is my data stored, and are backups encrypted?
Planner data and backup history are stored locally on your PC. Planner copies and backups are not encrypted, so keep them in a suitable location. The app also uses Microsoft Store services and diagnostic reporting; local planner storage does not mean that the application makes no network connections. Use fictional data in screenshots where possible, and avoid sending a real planner file unless support requests it and you have removed information you do not want to share.
